AGM & Year-End Swim Event – June 30
We’re pleased to share that our Annual General Meeting (AGM) is scheduled for June 30 from 5:00–6:15 PM.
We’ll kick off the evening with a fun swim in the big pool from 5:00–5:45 PM, so be sure to bring your swimsuits!
Parents are encouraged to stay for the AGM, which will take place in the conference room starting at 5:00 PM. Following the AGM/fun swim, swimmers will receive their year-end awards!
We will also be celebrating our swimmers’ progress by recognizing the number of Skittles each athlete has earned this year. Swimmers receive one Skittle for every second they improve on their competition race times—a fun way to highlight their hard work and progress!
If your swimmer has not yet had the opportunity to compete, their Skittles will come in future seasons.
AGM importance
With the AGM just one month away, we are looking to fill a few positions this year. We'd like anyone that is able to sign up for a two year term to let us know before June 15th. All applicants will need to be vetted to assure we have the right parent for the right role. Please reach out to Sarah or Marina for clarification on any roles you are interested in taking on.
With that, these are the 3 volunteer positions required to run next years season:
Secretary
-Responsible for sending out agendas for meeting, taking meeting minutes and providing digital copies to attendees, supporting chair with action items to follow up on. Other duties can include updating/admin on facebook and webpage.
-Helps organize AGM and ensures minutes are available for chair for submission of yearly gaming grant (due in May/June)
Total monthly time to position - up to 2 hrs/month on average
Fundraising Coordinator
-Organizes and runs the fundraising options for the club, applies for raffle licenses, providing enough fundraising opportunities for all members to reach goals (minimum of 2-3 fundraisers); helps support other gaming opportunities like finding & applying for grants
Total monthly time to position - 2-4hrs/month on average
Registrar & Privacy Officer
-Main contact for families. If you like to know what's going on with the swim club, this role is for you! The registrar has a lot of duties at the beginning of the year; transferring any returning swimmers to the next year and registration of the new swimmers. Requires use of poolq & REMS system (how we register swimmers with Swimming Canada - supported by other executive to learn the system), monitoring the registrar email at least once a week; works with chair/vice chair with updating officials in September. Ongoing monthly check ins to for any changes on the system, such as swimmers moving up in levels.
This role also controls the waitlist of new swimmers wanting to join, liaising with the head coach to arrange assessments, along with planning the annual intake assessment day at the beginning of September.
Total monthly time - varies
Aug/sept - busy; may need to dedicate a good 6 hours to learning the system and getting old members resigned in/planning the assessment day. Sarah will help out with the transition & updating poolq registration pages for the 2026-2027 season.
After that - 2+ hours/month
